Privacy Notice
Last updated: 1st November 2026
This notice explains how Wakili.tech ("we", "us", "our") handles personal data when you visit wakili.tech (the "Hub"). We follow the Data Protection Act, 2019 (Kenya) and its regulations. Each tool in the Wakili.tech suite runs on its own subdomain (for example, pdf.wakili.tech) and has its own privacy information, which applies when you use that tool.
1.Who is responsible for your data
The Data Controller for personal data processed through the Hub is Wakili.tech. You can contact us at hello@wakili.tech.
2.Scope of this notice
This notice covers the Hub only. The Hub does not ask you to upload documents, create an account or sign in. When you open a tool, that tool's own privacy information explains how your documents and data are handled there. For PDF Hub, see the PDF Hub Privacy Policy.
3.Personal data we may process
- Technical data such as IP address, browser type, device type and pages requested, kept in standard server logs by our hosting provider. Lawful basis: our legitimate interest in keeping the Hub secure and working.
- Usage data such as page visits and clicks on links that open our tools, recorded with privacy-respecting analytics. This helps us understand which tools are useful. Lawful basis: our legitimate interest in improving the service.
- Contact data such as your name, email address and message, if you email us. Lawful basis: taking steps at your request, and our legitimate interest in replying.
We do not collect sensitive personal data through the Hub and we do not knowingly collect data from children.
4.Analytics and cookies
The Hub does not use advertising cookies, does not sell data and does not build marketing profiles of visitors. Analytics records anonymous usage events and is not used to identify you personally.
5.How we use personal data
- to provide, secure and maintain the Hub;
- to understand how the Hub and its links to tools are used, so we can improve the suite;
- to respond to enquiries and tool suggestions;
- to comply with our legal obligations.
6.Sharing and international transfers
We share personal data only with service providers who help us run the Hub, such as hosting and analytics providers, under appropriate contractual safeguards. We do not sell personal data. Where a provider processes data outside Kenya, we do so only with appropriate safeguards as required by the Act. We may disclose data where required by law or a lawful order.
7.How long we keep it
Server logs and usage data: only for as long as needed for security, to keep the service running and to understand usage. Emails: as long as needed to deal with your request. We then delete or anonymise the data.
8.Your rights under the Data Protection Act, 2019
You have the right to:
- be informed of how your personal data is used;
- access your personal data held by us;
- object to the processing of all or part of your personal data;
- correct false or misleading data;
- delete false, misleading or unlawfully processed data;
- restrict processing, and request data portability where applicable;
- not be subject to decisions based solely on automated processing.
To use any of these rights, contact us at hello@wakili.tech. We will respond within the period required by law.
9.Security
All connections to the Hub use HTTPS. We take reasonable technical and organisational measures to protect personal data, but no online service can be guaranteed completely secure.
10.Client confidentiality
As an advocate, you remain responsible for your professional duties of confidentiality. Please review each tool's privacy information before processing client documents.
11.Complaints
If you are unhappy with how we handle your data, please contact us first. You also have the right to lodge a complaint with the Office of the Data Protection Commissioner (ODPC), Kenya. See www.odpc.go.ke.
